Job Location: Abuja
Employment Type: Full-timeResponsibilities
The roles and responsibilities of this include but not limited to:
Administrative Support:
  • Manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Maintain and organize files, records, and documents for easy retrieval.
Meeting Coordination:
  • Schedule, coordinate, and prepare for meetings, including setting agendas, taking minutes, and distributing follow-up materials.
  • Arrange logistics for meetings, such as booking conference rooms, organizing refreshments, and ensuring technical equipment is set up.
Travel Arrangements:
  • Plan and book travel itineraries, accommodations, and transportation for executives.
  • Prepare detailed travel itineraries and ensure all travel-related documents are in order.
Project Management:
  • Assist in the planning and execution of special projects and initiatives as directed by the Director.
  • Monitor project timelines and deliverables, ensuring deadlines are met.
Communication and Liaison:
  • Act as a liaison between the executive and internal/external stakeholders.
  • Coordinate and communicate with other departments and external partners as needed.
  • Handle confidential and sensitive information with discretion.
Office Management:
  • Oversee the organization and tidiness of the Director’s office area.
  • Manage office supplies and equipment, ensuring they are stocked and functioning properly.
Qualifications
Education and Experience:
  • Bachelor's Degree in Business Administration, Management, or a related field preferred.
  • Proven experience as a Personal/Executive Assistant or in a similar administrative role.
  • Experience in Real Estate is a plus.
Skills and Competencies:
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle multiple tasks and prioritize effectively.
  • High level of discretion and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
