Job Description:Our client is the distributor for the world's leading office and home fittings manufacturers in Nigeria. they have an opening for an executive assistant to the MD to be based in Lagos.Job Responsibilities:Complete a broad variety of administrative tasks for the MD including managing an active calendar of appointments; completing expensesJOB DESCRIPTIONExecutive Support
  • reports; composing and preparing confidential correspondence; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plan, coordinate, and ensure the MD schedule is followed and respected.
  • Provide "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the MD's time and office.
  • Communicate directly, and on behalf of the MD, with internal and external stakeholders on matters related to the MD's initiatives along the various verticals: work life, personal life, and philanthropy.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the MD, including those of a sensitive or confidential nature.
  • Determine the appropriate course of action, referral, or response.
  • Work closely and effectively with the MD to keep him well-informed of upcoming commitments and responsibilities, following up appropriately.
  • Act as a " barometer," having a sense of the issues taking place in the environment and keeping the MD updated.
  • Organize and manage conflicting needs; handles matters expeditiously, proactively, and following through on projects to successful completion,
  • often with deadline pressures.
  • Assist MD in tracking and providing analytical reports on the development of strategic initiatives, financial performance, and/or the market.
Board Support and Liaison
  • Serve as the MD’s administrative liaison to BPL’s board of directors.
  • Serve as Liaison with the Company Secretaries and In House Counsel on Board and other legal matters.
  • Assist in the logistics of board meetings where and when needed.
  • Maintain discretion and confidentiality in relationships with all board members.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Senior Management Liaison
  • Participate as an adjunct member of the Executive Team, including assisting in scheduling meetings and attending all meetings.
  • Assist in coordinating the agenda of senior management team meetings, off-site and staff meetings.
  • Facilitate cross-divisional coordination and monitoring of revenue targets and customer obligations that boost and promote productivity.
  • Communications
  • Manage communication on behalf of the MD’s Office by drafting acknowledgment letters, personal correspondence, and performing other
  • such tasks that facilitate the CEO's ability to effectively lead the company.
  • Communicate directly, and on behalf of the MD, with internal and external stakeholders on a wide assortment of matters.
  • Provide a bridge for smooth communication between the MD’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Edit and complete first drafts for written communications to external stakeholders.
Strategic Initiatives
  • Manage a variety of special projects and new initiatives for the MD
  • Develop and communicate strategic roadmap, corporate strategies and business strategies as assigned.
  • Facilitate and drive key strategic initiatives through inception to completion.
  • Work with other stakeholders across the group in translating strategies into actionable and quantitative plans.
Job RequirementsEducational Qualifications /Certification
  • A post-graduate degree, preferably in management
  • A legal background or an MBA will be preferred Experience
  • 5 -10 years role relevant work experience
  • Experience supporting C-Level Executives
  • Consulting or Strategy experience
  • A proven track record in a similar or administrative role. Knowledge Requirements Critical Competencies Personal
